Introduction

Mimosa for Android is an integral part of the MDH ERP Software, called Mimosa. It includes specific modules of the Mimosa ERP system that are designed to facilitate daily office activities for MDH staff members.

Purpose

This policy outlines the acceptable use and guidelines for utilizing Mimosa for Android. It aims to ensure the proper and efficient use of the application to support MDH staff in their daily office tasks.

Scope

This policy applies to all MDH staff members who have been granted access to Mimosa for Android. It encompasses the usage of the application and associated modules within the MDH ERP system.

Acceptable Use

MDH staff members are expected to adhere to the following guidelines when using Mimosa for Android:

  • Use the application solely for official MDH business purposes.
  • Ensure the security of their login credentials and not share them with unauthorized individuals.
  • Comply with all applicable laws, regulations, and MDH policies when using the application.
  • Report any suspected unauthorized access or use of the application to the appropriate IT personnel.
  • Refrain from attempting to modify, reverse engineer, or tamper with the application or its underlying systems.

Data Privacy and Security

Mimosa for Android handles sensitive and confidential data. MDH staff members must:

  • Protect user data and ensure its confidentiality, integrity, and availability.
  • Only access and view data that is necessary for their assigned duties.
  • Follow data protection and security protocols established by MDH.
  • Report any data breaches, security incidents, or suspected vulnerabilities immediately to the appropriate IT personnel.

Location Data

Use of Location Data

Mimosa for Android may collect and use your device’s location information in the background or foreground. This is used exclusively to enable geofencing features for staff attendance tracking. The app ensures that staff check-ins and check-outs occur only when they are within designated facility locations.

How We Handle Location Data

  • Location data is never shared with third parties.
  • It is only used for verifying staff presence at work sites.
  • Location data is securely stored and handled according to MDH’s internal data protection protocols.

User Control

  • You may disable location access via your device settings; however, doing so will disable geofencing-based attendance check-ins and limit app functionality.
  • The app requests location permissions only when required and with full user consent.

Prohibited Actions

The following actions are strictly prohibited when using Mimosa for Android:

  • Unauthorized access, use, or disclosure of data.
  • Sharing login credentials with unauthorized individuals.
  • Installing unauthorized applications or making unauthorized modifications to the application.
  • Engaging in any form of hacking, cracking, or malicious activities that may compromise the application or the MDH ERP system.

Consequences of Violation

Violation of this policy may result in disciplinary actions, including but not limited to warnings, suspension, termination, and legal consequences, as deemed appropriate by MDH management.
